Module: Development Ledger
The creation and maintenance of the Sale record for each Lot/Improvement can be done when the Lot/Improvement has been created as part of the Feasibility import or manually created when the project is established in the Development Ledger. It is advisable that this is done especially if Zavanti CRM is used and integrated as any changes to the Sale price and/or Purchaser information maintained in the CRM will automatically be updated in the Sale maintenance windows.
1. Select ‘SALE’ option from menu options

2. Select the required Estate and Stage from the ‘Maintain Sales’ window and click ‘Refresh’

3. This will display the existing Sale records for the selected Estate/Stage.
4. To create a new Sale record for a LOT/IMPROVEMENT click the ‘NEW’ option
5. Select the LOT/IMPROVEMENT from the dropdown list provided. This will only display Lots that have not had a sale record created yet

6. The Sale price, and Cost (Margin scheme) values will be automatically set based on the values maintained against the Stock item. If a price is maintained against the LOT and or IMPROVEMENT it will be set here and the total ‘Contract value’ shown. The above example is for Improvement where a Sale price is only maintained against the Improvement. The cost value has been set. The user should ensure that the correct tax Codes are selected for each of the line items.
7. The user can manually maintain the values on the ‘Maintain a sale’ window as required. These values will be maintained right up to settlement so that they agree with the ‘Sale Price’ as per the settlement
8. Click ‘SAVE’ in order to save the Sale record data. The following message will appear and prompt the user to enter the ‘audit’ data

9. This is to keep a record of any changes made to the Sale record, eg. Sale Price adjustments, and or Purchaser details (see maintaining Purchaser details)
10. In order to ‘View’ this audit data, the user can click on the ‘History’ option on the ‘Maintain a Sale’ window shown here

11. where they will then see the details of changes made

12. To maintain an existing Sale record, select the required Lot/Improvement from the ‘Maintain Sales’ window and click ‘properties

13. If the user has changed the Stock details using the LOT or IMPROVEMENT maintenance windows, the next time they select an existing sale record they will be prompted with the following message

14. Click ‘Yes’ so that the Sale record gets updated with the latest values maintained against the Stock item

If the Zavanti CRM system is integrated, then these values should be maintained in the CRM. Any changes made in the CRM are automatically updated in the Stock record as well as the Sale record shown here |
