When we have received some of the goods from the purchase order in the previous exercise, we can enter these into the purchase order, to let the system know we have received part of the order. In this manner, we can keep an accurate record of the stock we have received, and the stock that is yet to come. For this exercise, we will partially deliver the items. At this point we will also create a stock requisition for this, where we move the necessary item out of stock, and into this job.
1. Ensure Purchase Orders is open
2. Double click
on the Current folder, and double click on Unfilled/Uninvoiced Orders
This
will display the purchase order you have just created
3. Double click the last purchase order in this list
4. Click on Details
5. Click in the
Qty Del column, and enter the number that we have received
Enter a delivered
Qty
6. Click OK
A message will appear indicating that Job items have been delivered to us,
but we have not received an invoice for them. At this point we can create a
stock requisition. This will move the stock to the Job
7. Click Yes
8. Click on the Sales Order Details tab
9. View the
details and see that they are correct
For this exercise, ensure the Job is
the correct one, the Product and Group
10. Enter the Order Unit,
Qty Ord and Price (this is the “Sell” price to the Job)
Click OK, and choose
the Print settings
We have picking slips enabled, so we will need to print
that for the requisition. If at this point we get an error message, delete this
line, and add the line again with the above details
11. Click Refresh
Notice that this purchase order is now partly delivered
12. Open Sales Orders
13. Double click on Non-Current
14. Double click on Requisitions to Current Jobs
15. Examine the Requisition
the requisition will have today’s date on it. This indicates that we are
‘selling’ this product to this job
16. Close Sales Orders
