Reporting

The Reports menu provides users with flexibility in reporting parameters and in presenting the selected data in a format ready for printing.

The reports available for the Accounts Receivable module and their purpose are as follows:

Sales Report

The sales report is designed to give you an easy way to extract information about your sales and figures on what you have invoiced.  The reports have been split to allow for ease of use and identification.  Following is a brief overview and description of how to print and/or preview these reports.

Aged Trial Balances

The Aged Trial balance report is designed to give you the balances and outstanding invoices for Client’s accounts by Billing Cycle.  It can be printed out in summary form which gives you just the balances by aged period or in detail form which shows balances and outstanding invoices.  Use this report when you are chasing monies from your clients.

Statements

The Accounts Receivable module allows you to print client account statements.  The statement will contain a list of all of this month’s transactions, list of outstanding unreconciled transactions and the client’s balances, depending on whether the account has been set to Open Item or Balance Brought Forwards Aging Type.

Overdue Accounts Listing

The Overdue Accounts listing allows you to list those client’s accounts that have overdue invoices on them.  You can print a Summary which shows you the total of all outstanding invoices that match the selection criteria, or a Detailed report which shows you each and every invoice that matches the selection criteria.

Audit Trail

The Audit Trail listing is an integral part of the security of the system.  When you post any transaction into the Accounts Receivable module it is allocated a unique number, this number is its Audit Number.

Before you can do an end of period process that function insists that you produce an audit trail report.  This report is kept on a from and to date.  That is if you last printed the report on 11th November 1991, then you will be requested to print the report from that date to a nominated date and so on.  It is therefore impossible to miss any transactions in the system, because at some time during the financial period you will be required to run an audit trail.

We would suggest you run this report as a matter of habit before you do the end of period run and up to today's date.

Client Transactions

The client’s transaction list is designed to allow you to show all or some of the transactions that exist on all or some of the client’s accounts.  Unlike say the Overdue Accounts list that deals only with invoices, the Client’s Transaction listing shows you all types of transactions.

Invoice Register

The invoice register listing is designed to give you a list of all of your invoices from a particular date to todays or an earlier date.  This report is integral to you keeping an accurate hard copy of the invoices you have raised in any particular time period.

Receipt Listing

Provides you with a listing of receipt details.

Standing Order Listing

Provides you with a listing of Standing Order details.

Client Retention Listing

Provides you with a listing of those Debtors who have retention enabled.
