General Ledger

The General Ledger module holds the Chart of Accounts, separated into four primary groups,

      Income

      Expenses

      Assets

      Liabilities.

Within the subsidiary ledgers Cost Centre codes are set up for each activity and the relationship of the Cost Centre to the Chart of Accounts is defined as they provide the main link to the General Ledger.

The Zavanti ERP software suite is fully integrated. This means that if a cost or revenue item is entered in the Job Costing module, this cost is reflected in our General Ledger Profit/Loss Statement.

The General Ledger holds the Chart of Accounts, and gives you an overview of your financial position.

However, we conduct a great majority of our activities in the Job Costing, or Development Ledger accounts. Therefore, we need a way to filter the figures we record in these modules back to the General Ledger. Cost Centres were created for this reason. The following table contains a detailed explanation of each type of account, and the module that they are created from

There are other aspects of the system that relate back to cost centres or distribution codes. For example, the Development Ledger Stock types relate back to Development Ledger Cost Centres, which then relate back to General Ledger Accounts. The Stock Type does not directly relate back to the General Ledger Account, they must relate to it from the Development Ledger Cost Centres.

The following diagrams give examples of the flexibility of the Zavanti sub-ledger system compared to a traditional linear Chart of Accounts structure.

With the use of Development Ledger / Job Costing the Cost Centres within these modules record the detail of transactions and the sum value is recorded in the General Ledger account. This means that each Project can easily be reported on and the General Ledger maintains the sum of all costs related to each cost centre regardless of how many projects there may be.

Where each trade/cost centre has to be maintained as a separate account within the General Ledger account/subaccount and per project thus leading to a large Chart of Accounts

Another example of this is the Components module. The components are linked via the Component Group to a Job Costing Cost Centre, and then in turn the Cost Centre relates back to a General Ledger Account Code.

When we turn integration to another module on, we allow this communication between modules to take place.

As you can see in the above diagram, there are other aspects of the system that relate back to Cost centres. For example, Development Ledger Stock types relate back to Development Ledger Cost Centres, which then link back to General Ledger Accounts. But the Stock Type does not directly relate back to the General Ledger Account.
